Overview and Guidelines

Acceptable Use Policy

  • Students using the OCCC provided laptops must abide by the College's policy “No. 3058 Information Technology Resources Acceptable Use Policy."

Guidelines

  • Equipment may only be checked out by current OCCC students.
  • All laptops are equipped with Deep Freeze software that will reset original settings whenever the laptop is turned off/loses power. 
  • Students will need to save work on an external drive or cloud service.
    • Oklahoma City Community College is not responsible for loss of data or damage to files that may occur by using this laptop. Users must provide their own external storage (USB drive or cloud storage) to save their files.
  • Laptops and hotspots can be renewed during the Fall and Spring semesters only.  Students will need to visit the library with the devices and accessories to request a renewal.  Students will need to be enrolled in late 8 classes or still enrolled in 16-week classes for renewal requests to be granted.  All other equipment can be renewed once.
  • All equipment will be due 30 minutes before closing on the due date.
  • Equipment cannot be returned in the outside book return.
  • Students must remain at the Circulation Desk while equipment is inspected and checked in.

Student Responsibilities

  • Students will be held responsible for any loss or damage of equipment.
  • Loss of equipment due to theft must be reported to the police immediately and a police report must be presented to the OCCC library.
  • In the event of an unplanned campus closure, equipment due dates will be extended to the next day the Library is open.
  • If laptop or hotspot and accessories are not returned by the due date:
    • Holds will be placed on the student's library and college accounts. 
      • Students will not be able to use library resources or enroll in or drop classes until payment of replacement or repair costs have been paid in full.
  • If a student withdraws from all classes or is otherwise no longer a student, all equipment is due to be returned immediately. 
  • Students shall abide by all OCCC, state, and federal laws regarding appropriate use or OCCC network and computing resources.
  • It is the responsibility of the student to ensure all equipment is returned in the same condition it was loaned to them. 
  • Students who lose equipment or return equipment in a damaged condition may lose their equipment borrowing privileges.

Laptops

Overview

  • The library offers approximately 200 Dell Laptop Computers for students enrolled in for-credit classes to checkout. 
  • Laptops become available on the first day of classes for each term, and are issued on a first come, first served basis. 
    • Bring your OCCC ID to the Circulation Desk on the first floor of the library to check out a laptop. 
    • Laptops must be picked up and returned at least 30 minutes before closing to allow Library staff time to process the equipment and paperwork.
  • Laptops checkout for the duration of the 8-week term. 
  • Students already enrolled in late 8-week courses or still enrolled in 16-week courses will be given the option to renew their laptop checkout by submitting a schedule at the end of the first 8 weeks that shows they are enrolled.
  • Concurrent students who are not 18 years old will need a parent or legal guardian with them to sign the contract

Checkout Contract

  • All students wishing to checkout laptops or hotspots will need to read and sign a checkout contract that outlines all guidelines and responsibilities including replacement and repair costs. 
  • Contracts are filled out at the circulation desk at the time of checkout. 
  • One copy will be given to the student for their records and one copy will be kept on file in the library.

Replacement and Repair Charges

  • Laptops will be due at least 30 minutes before the library closes on the Monday following the last day of classes for the term. 
  • On the eighth (8) day late, the student will be charged full NONREFUNDABLE replacement charges for the laptop and all accessories.
  • Replacement charges will be assessed for lost, irreparable, or unreturned equipment and accessories.  Below are the approximate replacement costs (subject to change depending on third party vendor prices):
    • Laptop                        $869.00
    • Laptop Power Cord    $40.00
    • Bag                             $25.00
    • Mouse                         $10.00
  • Students who return laptops in a damaged condition will be provided an itemized statement of repairs from the laptop manufacturer within 10 business days and will be required to pay that amount. 
  • Damage to the laptop could include dents, scratches, marks, dented corners, liquid damage, removal or rearrangement of keys, screen damage, hinge broken, or other damage rendering laptop inoperable.
  • Failing to return equipment or returning damaged equipment may result in the student permanently losing equipment borrowing privileges.

Hotspots

Overview

  • The OCCC Library offers current students enrolled in for-credit classes the opportunity to check out one of 100 mobile hotspot devices on a first come first served basis. 
  • Hotspots become available on the first day of classes for each term, and are issued on a first come, first served basis. 
    • Bring your OCCC ID to the Circulation Desk on the first floor of the library to check out a hotspot. 
    • Hotspots must be picked up and returned at least 30 minutes before closing to allow Library staff time to process the equipment and paperwork.
  • Hotspots checkout for the duration of the 8-week term. 
  • Students already enrolled in late 8-week courses or still enrolled in 16-week courses will be given the option to renew their hotspot checkout by submitting a schedule at the end of the first 8 weeks that shows they are enrolled.
  • Concurrent students who are not 18 years old will need a parent or legal guardian with them to sign the contract

Replacement Costs

  • Hotspots will be due on the Monday following the last day of classes for the term. 
  • Hotspots that are not returned on or before the due date will be deactivated
  • Replacement charges will be assessed for lost, irreparable, or unreturned equipment and accessories.  Below are the approximate replacement costs (subject to change depending on third party vendor prices):
    • Mobile Hotspot            $80.00
    • Hotspot Power Cord    $20.00
    • Hotspot Case               $15.00
  • Failing to return equipment or returning equipment in a damaged condition may result in the student permanently losing equipment borrowing privileges.

Equipment

Webcams

  • The OCCC Library offers current students enrolled in for-credit classes the opportunity to check out a webcam.
  • Webcams check out for up to 7 days.  Webcam availability is on a first come, first served basis.
  • Bring your OCCC ID to the Circulation Desk on the first floor of the library to check out a webcam.
  • If webcam is not returned or is returned damaged or inoperable, the replacement cost is $63.00.

Chargers and Headphones

  • Chargers and headphones are available for check out.
  • The chargers are for small devices such as cell phones and tablets.
  • These can be borrowed at the Circulation Desk.
  • Please provide a photo ID.

Podcast Kits and Camera Equipment

  • The OCCC Library offers current students enrolled in for-credit classes and faculty the opportunity to check out podcasting kits and camera equipment. Availability is on a first come, first served basis.
  • Podcasting Kits and Cameras can be checked out for up to 3 days. They may be renewed once.
  • Bring your OCCC ID or State ID to the Circulation desk on the first floor of the library to check out equipment.

Overdue Holds and Replacement Costs

  • Students not returning equipment on or before the due date will have their library and college accounts put on hold.  Students whose accounts are put on hold will not be able to enroll, drop classes, or graduate.
  • Replacement charges will be assessed for lost, irreparable, or unreturned equipment and accessories. Below are the approximate replacements costs (subject to change depending on third party vendor prices):
